Access Ledger - Account headings in Access Ledger

When there are numerous accounts of the same type e.g. assets, expenses, or liabilities, users can consolidate the balances for these to be displayed in a single line by adding a custom header and changing the sort order of both systems.

Add a custom header

  1. Locate and select the required client entity. This opens the Accounting Periods tab of the client file which lists any existing datasets.

  2. Navigate to the Accounts tab and locate the account header under which you want to create a custom header.

  3. Right-click on the Header then select Add Custom Header from the dropdown menu.

  4. In the Header dialogue window, complete the following information:

    1. In the Header Name text box, the account name that is imported from the source will displays. If it is a manually created account, you must enter a unique value that is associated with the account number entered above.

    2. In the Classification dropdown list, the classification of the account header that you selected is preselected; however, you can choose a different classification for this custom header if you've changed your mind. The classification you choose changes the presentation and helps you find accounts; however, it doesn't impact on financial reporting. The available options are Assets, Liabilities, Equity, Revenue, Cost of Sales, Expenses and Other.

    3. The Account Type dropdown list lets you set the type of this account after you have chosen the mode.

    4. From the Mode dropdown list, choose from the following options:

      • Inherited: Select to inherit the account type from the account header using auto-matching rules. This option disables the Account Type field.

      • Manual: Select to manually set the account type and then choose the account type from the Account Type dropdown list. This option disables matching rules. Note: Select to manually set the account type then choose the account type from the Account Type dropdown list. This option allows future changes to the matching rules to override the Account Type you've selected with any new match that is found.

      • Rule: Select to rule the account type from the account header using Default Matching Rules. Rules can be created prior to consolidating categories and headings.

  5. Click Save Header. This returns you to the Accounts tab where the newly added header is listed in the chosen classification. The custom header displays a Move icon which enables you to move this header to a new position in the list.

Note: If you have selected current tax assets to add a customer header, it will inherit the properties of that header range.
