Use the Access Accountants Excel add-in to import journal data from Microsoft Excel into Access Ledger. Once installed, the add-in remains available in Excel for future imports.
Before you begin
You may need administrator permissions to install Excel add-ins. Contact your IT team if you cannot access the add-in store.
Ensure you have an Access Evo account before importing data.
Install the add-in
Open Microsoft Excel.
Select Home.
Select Add-ins.
Select More Add-ins.
Search for Access Accountants.
Select Add.
Accept the licence terms when prompted.
Verify the installation
Return to your worksheet.
Confirm the Access Ledger button appears on the Home tab in the Excel ribbon.
Set up your Access Evo account
The first time you open the add-in, you may see a notification prompting you to complete your account setup. You only need to do this once.
Select Complete Account Setup.
Select It's my first time signing into Access Evo.
Enter your email address.
Create a password.
Select Register.
After registration, you'll return to Access Ledger and can continue with your data import.
Manage Users in Access Ledger
To enable a new user to access the Excel Add-in, follow these steps:
Create a New User in Access Ledger:
Sign in with administrative privileges.
Go to Admin Centre, then click Users.
Click + Add User.
Enter the user’s email address.
Assign a security role (e.g., User or Admin) and click Save.
Assign the User to a Practice (if applicable):
Navigate to Admin Centre, then click Practices.
Select the relevant practice and go to Practice Users.
Click + Add User, choose the user, assign their role, and click Save.
User Activation:
The user will receive an invitation email to activate their account.
Once activated, they can install and use the Access Accountants Excel Add-in in Excel to import data.
Import data into Access Ledger
Prepare your Excel data
Before importing, ensure your spreadsheet:
Contains 3 to 6 data columns.
Includes only transaction data.
Does not include column headings.
Does not include totals or summary rows.
Import your data in Access Ledger
Select the transaction data in Excel.
Select Home and then Access Ledger.
Select Login and sign in.
Select the required Client Entity.
Select the required Accounting Period.
Select Prepare Journal to review and validate the data.
Review the journal details and complete the import.
